Payroll Tax & Accounting Administrator

Ensure that all wages and taxes are recorded and reported timely and accurately. Post all general ledger entries and reconcile all related payroll accounts to the general ledger. Balance and reconcile all vendor transactions related to tax filing, cash analysis and garnishment processing. Research and respond to all tax notices and inquiries in conjunction with the vendor. Maintain outstanding check list and perform due diligence in accordance with bank policy. Provide support to payroll department.

Responsibilities:

  • Review all new hires and colleague data changes within the HR system to ensure accuracy and timeliness of appropriate tax codes, based on work location and residence.
  • Reconcile all payroll-related accounts to the general ledger on a monthly basis. Perform all research and correction of reconciling items.
  • Register for all new state and local income tax jurisdictions as needed. Work with the vendor to add new jurisdictions to tax filing. Maintain all state and local identification numbers and tax rates in the HRS system.
  • Post all payroll journal entries to Peoplesoft system. Perform validation process in accordance with audit requirements. Maintain general ledger mapping tables in the HR System. Respond to inquiries from Finance/Controller's offices.
  • Maintain the outstanding check list and regularly perform the due diligence in accordance with bank policy. Prepare the annual escheatment list and coordinate the process with the appropriate bank departments (e.g., Treasury Services).
  • Reconcile all calendar QTD and YTD totals. Run reports and research any discrepancies. Balance to vendor statements and process any quarterly adjustments, as needed.
  • Process all year-end transactions and preparation of W-2 forms. Coordinate with vendor for printing and mailing of applicable forms to current and former colleagues.
  • Work independently on routine accounting, tax, payroll and other bank processes and tasks. Consult with Manager on complex and non-routine matters.
  • Assist Payroll Supervisor where needed and act as back up various tasks (e.g., for opening and closing payrolls).
  • Perform and support other department/division duties and special projects as needed. May lead specific projects or initiatives.

Basic Qualifications:

  • *Minimum 2 years of payroll tax accounting experience required.
  • *Minimum 4 years of experience working in a corporation or banking institution required.
  • *Thorough understanding of basic accounting principles, payroll and tax filing requirements.
  • *Proficient in MS Excel.

Abilities, Job Skills and Knowledge:

  • Knowledge of Ultimate Software and PeopleSoft applications preferred.
  • Ability to research and perform financial reconciliations with high attention to detail and accuracy.
  • Excellent written and verbal communication skills.~Efficiently perform several tasks concurrently, handle sensitive data with integrity, confidentiality, and the utmost discretion.
  • Comprehensive knowledge of applicable federal, state and local tax regulations and guidelines.
  • Ability to work independently with minimal supervision.
